Terms and Conditions

1. Definitions

1.1 In these Terms & Conditions:
“We”, “us”, or “our” refers to Van Man Rentals UK Ltd.
“You” or “your” refers to the Customer.
“Goods” means the items being removed, transported, or handled as part of our services.

2. Payment Terms

2.1 A deposit is required to confirm your booking and will be deducted from the total amount due.
2.2 Full payment must be made upon arrival at the collection address, before loading begins.
2.3 Any additional charges (e.g., extra items, waiting time, unplanned stops) will be added to your final invoice and must be paid before final unloading at the delivery address.
2.4 Do not pay the crew directly unless agreed upon in writing by Van Man Rentals. All payments must be made to the company.
2.5 Accepted payment methods include bank transfer, cash, or other pre-approved methods.

3. Customer Responsibilities

3.1 You are responsible for ensuring suitable access and parking at both the collection and delivery addresses. Any penalties or fines incurred due to inadequate access or parking arrangements may be added to your invoice.
3.2 You or a responsible adult must be present at both the pick-up and drop-off addresses unless
agreed otherwise in writing.
3.3 It is your responsibility to ensure that all items will fit through access points at the delivery location. We are not responsible for removing doors, windows, fixtures, or fittings.
3.4 If modifications (e.g. light fittings or door removal) are carried out at your request, Van Man Rentals will not be liable for any resulting damage.

4. Packing & Fragile Items

4.1 All items must be packed and ready by the agreed start time.
4.2 Fragile, high-value, or delicate items must be clearly labelled and brought to the attention of the crew before loading.
4.3 We are not liable for any damage to fragile or valuable items that are:
Not properly packed
Not declared before the move
Pre-wrapped, boxed, or packed by the customer unless an inventory of their condition is completed before loading

5. Insurance & Liability

5.1 We hold valid Goods in Transit and Public Liability Insurance.
5.2 We are not liable for:
Damage to pre-wrapped, boxed, or customer-packed items, unless an inventory of the item’s condition is completed before loading. Damage due to structural weakness, wear and tear, or pre-existing defects.
5.3 Claims must be reported upon delivery and supported by photo evidence within 24 hours of the job’s completion.
5.4 Items that are under-declared in quantity or value may not be fully covered unless clearly listed and agreed upon in writing prior to the move.

6. Dismantling & Reassembly

6.1 This service is chargeable and must be requested in advance to ensure proper time and tools are allocated.
6.2 We are not responsible for damage to items that are structurally compromised, of poor build quality, or previously damaged.
6.3 Flat-pack or fitted furniture dismantling and reassembly is not covered under our insurance policy.

7. Wall-Mounted Items

7.1 TV removal from wall brackets is available upon request.
7.2 Removal of wall brackets is chargeable and must be pre-booked.
7.3 We are not liable for any damage to walls, plaster, or other surfaces resulting from the removal of mounted items or hardware.

8. Job Scope & Changes

8.1 Quotes are based on the job details provided at the time of booking.
8.2 Additional items, stops, delays, or changes to the agreed scope may result in extra charges.
8.3 Fixed-price bookings include a 10-minute grace period for delays. After this, waiting time is chargeable at the standard hourly rate.

9. Delays

9.1 While we aim to arrive within the agreed time window, we are not responsible for delays caused by traffic, weather, accidents, or other unforeseen circumstances.
9.2 Delays caused by customer-related issues (e.g., locked premises, keys unavailable, unready items) may result in additional charges.

10. Cancellations & Amendments

10.1 Cancellations made with less than 24 hours’ notice may be subject to fees.
10.2 Significant changes to the booking (date, location, item volume) may affect the price and availability of our service.

11. Prohibited Items

11.1 We do not transport:
Hazardous or illegal goods
Flammable materials or gas cylinders
Perishable items, live animals, or refrigerated goods
Oversized or unusually heavy items (e.g., safes, pianos) unless declared during booking
11.2 Items not disclosed in advance may be refused and will not be transported. Any such items transported without prior agreement are not covered under our insurance and may be removed or disposed of at the customer’s expense.

12. Quotation Adjustments

We reserve the right to adjust your quote if:
The job is delayed more than 3 months from the original quote
Costs increase due to third-party fees, access restrictions, or parking charges
The volume or weight of items is significantly higher than declared
The approach or access is not suitable for our vehicle within 20 metres of the property
There are additional floors, awkward access points, or the need for special equipment


13. Excluded Services (Unless Agreed in Writing)

Unless specifically agreed in writing, we do not:
Dismantle or assemble furniture
Disconnect or reconnect appliances
Remove carpets, flooring, blinds, or curtains
Move night storage heaters
Clear ice, snow, or debris from access areas
Move items deemed unsafe, at risk of damage, or beyond our safe handling capacity

14. Excluded Goods

We do not transport:
Jewellery, watches, precious stones or metals, cash, securities, or documents
Hazardous materials, weapons, explosives, or chemicals
Food, perishable goods, or items that may attract pests
Live animals, fish tanks, or plants
Items that pose a health or safety risk
14.1 If these items are submitted without our knowledge, we are not liable for any resulting loss or
damage. We reserve the right to dispose of such items without notice.

15. Customer Obligations

You must:
Provide accurate inventory details when booking
Prepare appliances (e.g., defrost fridges) and stabilise all electronics
Ensure suitable parking, access, and loading conditions
Provide accurate and up-to-date contact information
Ensure self-packed items are secure; these are not covered under insurance unless an inventory is
completed before loading
Failure to meet these obligations may result in refused service, additional charges, or voided
insurance coverage.

16. Ownership of Goods

By entering into this agreement, you confirm that:
The goods belong to you, or
You have full legal authority from the owner to authorise their removal and transport
You agree to indemnify Van Man Rentals against any claims related to ownership disputes.

17. Postponements & Cancellations

17.1 Charges apply for late cancellations:
Less than 24 hours’ notice: 25% of total cost + £15 admin fee
On the day or after service begins: full fee is payable

18. Complaints

18.1 All complaints must be submitted in writing within 24 hours of delivery, with supporting
evidence such as photographs.
18.2 Complaints submitted after this time may not be considered.

19. Limitation of Liability

We are not liable for:
Damage to self-packed or pre-packed items unless an inventory of condition is completed before loading
Scratches or dents unless a pre-collection condition report is arranged
Indirect or consequential losses
Items not handled, packed, or moved by our staff
Loss due to events beyond our control, including but not limited to:
Acts of God
War, civil unrest, terrorism
Industrial action
Flooding, fire, or road closures
By using our service, you confirm acceptance of these Terms & Conditions.
